Working with Compliance Runs

Creating a Compliance Run

To create a compliance run:

  1. Navigate to the Compliance Run page.

  2. Click on the Add Compliance Run button. The New Compliance Run modal appears.

  3. Enter a Name for the compliance run.

  4. Specify From and To dates associated with the Run Period and Validity Period.

  5. Click on the relevant master data items in the Applicability Scope section to include them in the compliance run.

  6. Click Save to create the compliance run and display the Compliance Run Details page.

  7. Click the Status button to update the status of the compliance run.

Automatically Generate Tasks for Compliance Runs

  1. Compliance Runs with Location and other Applicability master data items automatically generate tasks.

  2. Users responsible for the location and functional area associated with each control will be automatically set as evidence providers for associated task.

Notify Evidence Providers

  1. The application sends each evidence provider a notification regarding the evidence that they need to provide.

  2. Evidence providers must click on the provided link to log into the Regology system and upload the required evidence.

Verify and complete tasks

  1. The regulatory scanner can review regulations for accuracy and completeness.

  2. Once the review is complete and the regulations are verified, regulatory scanners must mark the tasks as Complete.

Viewing Compliance Runs

To view the compliance runs created in the application:

  1. Navigate to the Compliance Run page.

  2. Choose the List View or Group View option to view compliance runs as a list or as a group, respectively.

  3. Click on a compliance run to view its details. Use the Hide Details and View Details buttons to hide and view details as required.

  4. Click the Refresh button to execute the compliance run and generate related tasks.

Working with Compliance Runs

To view and update details associated with a compliance run:

  1. Navigate to the Compliance Run page.

  2. Click on a compliance run.
    The tasks associated with that compliance run appear, grouped by the control object for which they were created.

  3. Click on a control object to view associated tasks.

  4. Download or upload evidence as required, and archive the task once the compliance run and related tasks are complete.

Uploading Evidence

To upload evidence associated with a control:

  1. Click the Upload Evidence icon associated with a task to see the Evidence Request modal.

  2. Expand the Summary section.

    1. Click to update the Task Name, Status, Owner Name, Description, and Due Date.

    2. Use the Reviews field to add comments to the task. You can also read and respond to comments made by other users.

  3. Expand the Additional Details section and update the Task Details, Stakeholders, and Applicability areas associated with the task.

  4. Expand the Evidence section and upload evidence associated with the task.

  5. Click Close to exist the modal and return to the Compliance Run page.

Deleting / Archiving Compliance Runs

To delete or archive a compliance run, click the ellipsis associated with it and select Delete. Click Yes in the warning message that appears. The compliance run is archived.

Filtering Compliance Runs

The Compliance Runs page lists out all the compliance runs to which you have access. Use the Filters button to view compliance runs that fulfill specific criteria.

Click the Filters button in the top-right section of the Compliance Runs page to view the list of filtering options available.

Regology enables you to filter compliance runs by:

  • Owner

  • Status

  • Name

  • Validity Period

  • Run Period

  • Applicability

Filtering Compliance Runs by Owner

To filter compliance runs by owner, expand the Owner section and use the Search Users/Groups field to search and select owners.

Filtering Compliance Runs by Status

To filter compliance runs by status, expand the Status section and select the checkboxes adjacent to the statuses that you want to use to filter the compliance runs in the page.

Filtering Compliance Runs by Name

To filter compliance runs by name, expand the Name section and enter the name that you want to use to filter compliance runs.

Filtering Compliance Runs by Validity Period

To filter compliance runs by validity period, expand the Validity Period section and use the Start and End Date fields to specify the dates between which the compliance runs in the page must be applicable.

Filtering Compliance Runs by Run Period

To filter compliance runs by run period, expand the Run Period section and use the Start and End Date fields to specify the dates between which the compliance runs in the page must be run.

Filtering Compliance Runs by Applicability

To filter compliance runs by applicable regulations, expand the Applicability section and use the Search Applicability field to search and select regulations to which the compliance runs in the page must be applicable.
