Policy Gap Analysis Workflow
Overview
Policy Gap Analysis Workflow allows users to compare a selected policy against its associated regulatory Authority Documents (ADs) and derived Requirements. The goal is to identify missing, outdated, or misaligned elements between internal policies and external obligations, ensuring comprehensive coverage and compliance.
Accessing Policy Gap Analysis Workflow
To begin a gap analysis:
Navigate to the Policy List View.
Hover over the desired policy.
Click on the Reggi icon that appears.
From the dropdown, select Policy Gap Analysis Workflow.
Launching the Policy Gap Analysis Workflow
After selecting the Policy Gap Analysis Workflow, a guided flow will open, allowing you to configure and initiate the analysis process.
Workflow Setup
Naming the Workflow
A pop-up will prompt you to provide a name for your gap analysis workflow.
Pre-filled Policy Information
The selected policy will be pre-filled into the workflow form, ensuring contextual continuity.
Adding Authority Documents and Requirements
If No ADs Are Linked
A message will indicate that there are no Authority Documents linked.
Click Add Authority Documents to initiate a pop-up.
In the pop-up:
Select relevant topics.
Choose Authority Documents associated with the selected topics.
Click Add to populate them into the workflow.
Requirements will then be generated from these ADs and linked to both the ADs and the policy.
If ADs Are Already Linked
The existing Authority Documents will automatically populate.
Requirements will be generated and linked accordingly to the policy.
Managing Requirements
Users can perform the following actions on individual Requirements:
Mark as Reviewed – Confirm that the requirement has been reviewed.
Mark as Rejected – Exclude the requirement from consideration.
Save – Save the current state of all requirements.
Users can also add more Authority Documents or Requirements anytime from the three-dot menu in the right-side panel of the workflow (Note: This menu is removed in the main policy view within this workflow).
Advanced Actions
Fine-Tune Requirements
Access the Fine-Tune Requirements action from the right-side panel to refine the scope and relevance of generated requirements.
Generate Key Requirements
Use the Generate Key Requirements option available from the three-dot menu to distill key actionable obligations.
Tracking Policy Changes
Indicator for Modified Policies
If any linked ADs or Requirements are modified, a red dot will appear next to the policy ID.
Comparing Policy Versions
In the Policy Details View, changes in the title and description will be displayed with version comparison.
Options available:
Keep Current Version
Revert to Previous Version
Refreshing Policy Content
If any linked Requirements are rejected, a refresh icon will appear next to the policy.
Clicking this icon will recalculate and update the policy content based on the latest Requirements.
